As an intern in this role, you will gain hands-on experience working closely with department leads and team members to optimize data processes, create impactful dashboards, and contribute to strategic decision-making across various departments, including safety, operations, and finance. Responsibilities:

        Safety Compliance Coordinator

        Job Description: This individual will be responsible for assisting the Safety Manager. This role will be responsible for processing applications and handling / reviewing driver logs. In addition, the Safety Compliance Coordinator will manage the comprehensive motor carrier safety program in accordance with company policies and ensure compliance with laws and regulations. Additionally, this individual will ensure the safety of drivers and confirm that DOT compliances are met as well as assist new drivers in various capacities.

        Responsibilities:

        • Coordinate priorities for all safety and compliance functions company wide.
        • On a daily basis review and audit driver logs to ensure drivers compliance to DOT rules and regulations.
        • Assist with all driver questions regarding hours of service and driver logs.
        • Manage insurance claims process for all accidents/incidents, including reporting claims, entry of claims into applicable systems, and weekly follow up with insurance providers until claim is resolved.
        • Assist the recruitment/onboarding department with driver onboarding, including driver orientation, review and audit of driver qualification files, and setup of new drivers in applicable systems.

              Assisting all drivers on their board during their shift will include tasks such as following up with drivers, assisting with accurately updating their location and on-time arrivals, managing their punctuality and providing as-needed support such as coordinating service for any equipment issues which may arise.

              Working complimentary to the weekday dispatch team, as well as the night dispatcher, the weekend dispatcher will be responsible for monitoring, supporting and closing off afternoon shift drivers, monitoring weekend drivers and providing equipment and paperwork to the day shift driving fleet.

              Cross training is essential to the success of the entire team, and will be required for each and every member of the Dispatch team. Training is provided for this position to learn our processes and in-house TMS. The ideal candidate will be ready to learn, with some dispatch experience (junior dispatch/ dispatch assistant).

              The ideal candidate will be comfortable working alone, with minimal supervision and a remotely available team of support persons for a portion of the shift. Additional members will join the Midnight Dispatcher on shift overlaps (beginning and end of their shift), and will account for a small portion of overlap

                  Absolute Must:

                  • Must have exceptional communication skills both written and verbal
                  • Must possess good negotiation skills and excellent judgment
                  • Must have excellent customer service skills, a strong work ethic with exception interpersonal skills

                   

                  Requirements:

                  • Connect with drivers; ensure they’re following instructions and routes as assigned from day dispatch team.
                  • Follow up with drivers to ensure they’re updating their status, and are on-schedule
                  • Assist with coordinating service of equipment if needed for incidents such as breakdowns or accidents
                  • Update driver information such as equipment assignment and driver status accurately in the TMS (transportation management system).
                  • Ensuring all work is accurately entered and managed in the TMS (driver trip progress and closing trips).
                  • Schedule agency drivers efficiently, resulting in the reduction/elimination of non-revenue hours, empty miles and an increase in driver productivity
                  • Identify performance issues and communicate operational needs with Dispatch Manager
                  • Update spreadsheets as needed to accurately capture data of daily tasks
                  • Manage and direct all incoming inquiries through the dispatch telephone lines to ensure a clear, efficient flow of information to the appropriate people
                  • Be the front line contact for drivers regarding scheduling and work availability
                  • Coordinate and communicate with appropriate departments the maintenance if needed
                  • Assign equipment to upcoming runs to ensure all of our customer’s needs will be met
                  • Communicate with drivers to ensure that appointment delivery times are met
                  • Monitor special driver requirements for each site to ensure they are being adhered to
                  • Report all driver absences and tardiness to the Manager
                  • Ensure proper placement of trailer pool to support customers’ daily requirements while maintaining costs
                  • Customer reporting and tracking spreadsheets as required
                  • Assist in the dispatching of drivers as required to perform other duties as assigned by the reporting manager
                  • Ability to work independently in a fast paced environment, attention to detail under tight deadlines

                   

                  Ideally:

                  • Must have excellent Communication Skills, Customer Service & Interpersonal skills
                  • Knowledge of TransportationPlus TMS would be an asset
                  • Intermediate Excel skills
                  • Strong attention to detail and accuracy
                  • Be willing to work in a fast paced environment
                  • Must be able to handle high volume of paper work
                  • Must be responsible and reliable
                  • Must be able to work independently, and as a team player
                  • Business / Accounting Educational background, or related work experience

                    Full Cycle Accounting Coordinator

                    • Implement full cycle Accounts Payable
                    • Match invoices to supporting documentation (P.O’s packing slips etc.)
                    • Check invoice pricing
                    • Prepare batches of invoices to be entered into the system
                    • Resolve any discrepancies that occur by retrieving supporting documentation
                    • Respond to any vendor inquiries
                    • Liaise with suppliers and internal departments as required
                    • Printing, photocopying and filing
                    • Assist with internal & external audits as needed
                    • Additional duties may be assigned as required
                    • Reception backup

                     

                    Ideally:

                    • Must have excellent Communication Skills, Customer Service & Interpersonal skills
                    • Knowledge of BrokerPro, HubTran, and Quickbooks would be an asset
                    • Intermediate Excel skills
                    • Strong attention to detail and accuracy
                    • Be willing to work in a fast paced environment

                    • Must be responsible and reliable
                    • Must be able to work independently, and as a team player

                      Logistical Support Agent

                      • Proven experience as data entry clerk
                      • Daily tracing and tracking of all shipments through to delivery
                      • Working closely with suppliers, carriers and customers to manage shipments and contracts
                      • Working closely with other departments to ensure smooth execution
                      • Answer incoming calls and make outbound calls ensuring outstanding customer service.
                      • Provide timely and accurate shipment information to carriers.

                       

                      Ideally:

                      • Prior Transportation Industry and/or Logistics experience are an asset
                      • Entrepreneurial spirit and interpersonal savvy
                      • Sound analytical and critical thinking skills.
                      • Proven communication and time-management skills
                      • Strong customer service and relationship-building skills

                        • Manage carrier portfolio, including developing strong relationships and operational understandings, helping match carrier preferred lanes with freight, and work with carriers as determined by the company
                        • Continually source new carriers for portfolio, developing the same relationships and understandings
                        • Proactively communicate pertinent shipment details to/from motor carriers, and our internal team
                        • Work closely with senior management to define strategic direction and objections
                        • Collaborate with Carrier’s, Freight Forwarders, and fellow colleagues on a daily basis

                         

                        Ideally:

                        • Prior Transportation Industry and/or Logistics experience are an asset
